What personal data is collected and held?
Wycombe Environment Centre Limited (WEC) collects personal data that you provide to us via either our website, telephone, email, or in-person at our centre in High Wycombe:
During enquires, made by you or us, regarding our organisation, its charitable aims, and any of our products or services.
In connection with membership of WEC.
When you donate products to us.
When you purchase products from us.
During fundraising activities in support of our charitable aims.
When you consent to be added to the newsletter mailing list. The personal data we collect and hold consists of contact details: name, email, address, telephone number(s), and postal address. We may also collect financial information to process secure online purchases; process membership fees, pay invoices, receive financial donations; and/or process gift aid.
We may also collect, by agreement with you or from the public domain, social media profile names in order to connect with you on social media platforms.
How will your data be used?
The lawful basis for using your personal data is as follows:
Your contact details (see above) and associated financial details will be used on a contractual basis for processing and maintain membership of WEC and/or to sell products to you and process gift aid.
Provided that it does not override your own rights, we will also process use your data to pursue the following legitimate business interests:
Promoting our charitable aims.
Recruiting new members.
Handling enquiries in connection with our organisation, membership, our products and services.
The receipt and sale of donated products.
Fundraising campaigns and enquiries
We may also process personal data when entering into a contractual arrangement with contractors and other organisations who supply us with business products and services
Your name and email address will be used with your consent for email direct marketing (see below). Similarly, with your consent, we may also use your personal data for promotion purposes (e.g. on social media, leaflets etc.).
Email direct marketing
We may send you by email a newsletter or marketing material, promoting WEC, our charitable aims, our products and services. Inclusion on the mailing list to receive such emails requires your consent. You are required to opt-in, and may unsubscribe at any time by clicking the required unsubscribe link, or by contacting us (see below).
Storing and protecting your data
Your data will be held in secure cloud-based systems. Any paper forms and enquiry notes containing personal data will be uploaded upon receipt and the hard-copy destroyed. We use Google Workspace for storing our database; Zero for our payroll, accounting and bookkeeping, PayPal for processing online payments to us, and Mailchimp for our email marketing. These all specialise in secure data storage.
Access to these applications is strictly controlled; and protected within our organisation by appropriate cyber security measures.
Your personal data is held for no longer than required, as set out in our data retention schedule (available upon request).
Sharing your data
It is necessary to share your data with the cloud-based services we use for processing (see previous section). Although their servers are based outside of the UK, they process data in a manner compliant with EU standards.
We may share personal data if required to do so by law or to enforce legal rights. WEC will not rent, sell or trade your personal data.
Your rights
Under the UK General Data Protection Regulation and the Data Protection Act 2018, you have a number of data rights including a right to information, to access, to be forgotten, to have errors rectified, to restrict and to object to data processing.
